This policy outlines our information practices and our compliance with the Data Protection Act 2018 and the General Data Protection Regulation (GDPR).  It covers data collection and usage and applies to True North Safety Solutions Limited and truenorthsafety.co.uk.

Personal information, or data, means any information about an individual from which that person can be identified.  It does not include data where the identity has been removed (anonymous data).  This policy tells you how we look after your personal data, about your privacy rights and how the law protects you. 

Our website is not intended for children and we do not knowingly collect data relating to children.

We may collect, use, store and transfer different kinds of personal data about you depending on what service we provide to you.  This data can be obtained from our website and verbal or written communication.

How we get the information and why we have it

Contact form

The contact form on the website is used to collect name, email address, telephone number and any details supplied with your enquiry.  You freely provide this information, which is used only to process your enquiry.  This information is stored securely, until a time it is no longer required. 

Our website is hosted by SiteGround, who have data centers within the EU and the US.  They process data only for the purposes of delivering the hosting service and resolving technical inquiries.  SiteGround’s data processing agreement can be seen here https://www.siteground.com/viewtos/data_processing_agreement.

Visiting the website

If you visit our website to browse our pages or to read a blog post, we will log your IP address and use cookies to track your interactions.

We use a third party to automatically collect information through the use of cookies which do not contain personal information.  We keep track of browsing patterns and help us to build up a profile of how our customers use the website.

The Google Analytics software will save a cookie to your computer’s hard drive in order to track and monitor your engagement and usage of the website, but will not store, save or collect personal information.  Google Analytics privacy policy can be viewed at https://support.google.com/analytics/answer/6004245?hl=en.

You may choose to set your web browser to disable cookies.

Direct interaction

If you purchase a product or service from us, you will provide us with identity and contact information via forms and correspondence (phone, email or post).

If we purchase a product or service off you, you will provide us with identity, contact and financial data.

How we use your personal data

Generally, we use your personal data when we need to perform the contract we are about to enter into or have entered into with you.  Personal data will be used to carry out the following activities:

  • Register you as a new customer or supplier.
  • Process and deliver or receive your order including:
    • Manage fees, charges or payments.
    • Collect and recover monies owed.
  • Manage our relationship with you.

Access to personal data is limited to those employees, agents and other third parties who have a business need to know, in order to fulfill the purpose for which they were collected.  They will only process personal data on our instruction.

We will also use it when we need to comply with a legal or regulatory obligation.

Data analytics is used to improve our website, products/services, marketing, customer relationships and experiences.

We do not use your personal data to send direct marketing communications to you.

How we store your information

Your information is stored securely, with back-up and disaster recovery solutions in place.  Security measures are in place to prevent personal data being accidentally lost, used or accessed in an unauthorised way.

Where data is exported outside of the European Economic Area, True North Safety Solutions will ensure that a level of security equivalent to the GDPR is in place.

We have procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach.

Data retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal or accounting requirements.

Data will be reviewed on an annual basis and held for 7 years after the expiration of any current contract.

When personal data is deleted this will be done in a secure and controlled manner and so that the data is irrecoverable.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information.
  • Your right to rectification – You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your information in certain circumstances.
  • Your right to object to processing – You have the right to object to the processing of your personal data in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

As a security measure, we may request specific information from you to confirm your identity.  This is to ensure that personal data is not disclosed to any person who does not have the right to receive it.
